Overview

In this guide, we will walk through the process of adding a new supplier to your EventZero dashboard, managing their event assignments, and tracking their contributions.

1. Accessing the Supplier Module

  1. Log into EventZero and navigate to your dashboard.

  2. On the left-hand side, locate and select the Supplier tab.

  3. This will display a list of all suppliers added to your organisation. The list includes:

    • Supplier Name

    • Supplier Email Address

    • Your Company Name

    • Assigned Events

    • Invitation Status (Accepted/Pending)

    • Preview Button (Displays supplier details, assigned events, modules, deadlines, and status)

Important Note:

  • You will only see suppliers associated with your organization, not those from other organizations.

  • If a supplier is no longer needed, you can delete them, which removes them from your entire organisation.

2. Adding a New Supplier

  1. Click on the "Add New Supplier" button.

  2. Enter the supplier’s email address.

  3. Optionally, type a personalized message to introduce yourself and provide any specific details.

  4. Click "Send Invitation".

  5. Once sent, the supplier will appear in the list with a "Pending" status.

Sending a Follow-up Invitation

If needed, you can send a reminder by clicking the "Send Follow-up Email" button.

3. Managing Supplier Invitations

  • Once a supplier accepts the invitation, their status updates to "Accepted".

  • At this point, they can be assigned to events.

4. Assigning a Supplier to an Event

  1. Navigate to the Events tab and select the desired event.

  2. Open the event dashboard.

  3. Locate the "Suppliers" tab and click "Add Assigned Supplier".

  4. Click the dropdown and select an accepted supplier.

  5. Choose the parameters they will contribute to, such as:

    • Accommodation

    • Food & Beverages

    • Printed Materials (or any other relevant categories)

  6. Click "Assign Supplier".

  7. The supplier is now added to the event with their assigned tasks and deadlines.

5. Tracking Supplier Contributions

  • In the supplier list for an event, you can track:

    • Supplier Name

    • Email Address

    • Due Date for their assigned work

    • Task Completion Status

  • You can also edit assigned parameters if the scope of work changes:

    1. Click on the Edit button.

    2. Modify the assigned categories.

    3. Click "Update Supplier" to apply changes.

6. Viewing Supplier Submissions

Once a supplier submits their contributions, the information is available in the Results Dashboard alongside other event data.
